This Privacy Policy applies to all websites, platforms and applications that TradeVerify Pty Ltd and its wholly owned subsidiaries ("TradeVerify", "we", "us" or "our") own and operate, and all services we provide — including the TradeVerify contractor compliance verification platform, any related products, and any other services we offer (for example, training). We refer to these collectively as our 'services'.

This policy explains what personal data we collect, why we collect it, how we use and protect it, and what rights you have in relation to it. We update this policy from time to time.


2. Who We Are

TradeVerify Pty Ltd is headquartered in Australia and operates within Australia and New Zealand. We provide an online cloud-based platform for contractor compliance verification, enabling property managers, strata managers, Owners Corporations (OCs) and other clients to verify that contractors meet relevant licensing, insurance and compliance requirements.

3. What Is Personal Data?

'Personal data' means any information that identifies or could reasonably identify you as an individual — for example, your name, email address, phone number, postal address, payment information, or support queries. This includes personal data relating to contractors, property managers, strata managers and other individuals who interact with our services.

Where personal data has been aggregated and fully anonymised such that you cannot be identified, this policy does not apply to that information. Please refer to our Terms of Use for how we treat other data.

5. How We Collect Your Data

We collect personal data in the following ways:

- Information you provide to us directly
When you visit or use our services, we may ask you to provide personal data — for example, when you sign up for a demo, register to use the TradeVerify platform, submit contractor compliance documents, contact us with questions, or participate in training. If you choose not to provide certain personal data, you may not be able to access all features of our services.

- Information about contractors
Our platform is used by property managers, strata managers and OC managers to verify contractor compliance. In this context, we collect and process personal data relating to contractors — including their name, contact details, licence numbers, insurance certificates and other compliance documentation — as submitted by our clients or by the contractors themselves.

- Information we collect automatically
When you visit our websites or use our services, we automatically collect certain technical information, such as your IP address, device type, browser type, and usage data (including which pages you visited and links you clicked). This helps us understand how our services are being used and to continuously improve the experience.

6. Legal Basis for Processing

We will only process your personal data where we have a lawful basis to do so. Depending on the context, that basis may be one of the following:

- To perform a contract with you, or to take steps at your request before entering into a contract;
- Where we have a legitimate interest in doing so and that interest is not overridden by your rights (for example, to improve our services, to detect fraud, or to manage our business);
- To comply with a legal obligation; or
- Where we have obtained your consent.

If we are unable to collect your personal data, we may be unable to provide some or all of our services to you.


7. Personal Data Entered by Our Clients

If you have not dealt with us directly but believe that a TradeVerify client (such as a strata manager or property manager) has entered your personal data into our platform, you should contact that client directly regarding your personal data. They are responsible for how your data was collected and submitted. You can also contact us at compliance@tradeverify.com.au if you need assistance identifying the relevant client.


8. How We Use Your Data

We use your personal data for the following purposes:

- Providing and managing our services
To operate and deliver the TradeVerify platform and associated services, manage our relationship with you, and fulfil any requests you make of us.

- Contractor compliance verification
To assess, verify and monitor contractor licence, insurance and compliance status on behalf of our clients, and to issue alerts when compliance documents are due for renewal or have lapsed.

- Communications
To send you information you have requested, operational updates (such as changes to our services or security notices), marketing communications, or invitations to participate in research or feedback activities. Where you are a contractor whose data has been submitted to our platform, we may also use your contact details to send you information about TradeVerify products, services or offers that may be relevant to you. 

- Support
To assist with technical support issues or other service-related queries.

- Improving our services
To track and monitor use of our services, carry out technical analysis, and develop new features and functionality.

- Security and fraud prevention
To detect, investigate and prevent fraudulent, malicious or unauthorised activity, and to ensure our services are used in accordance with our Terms of Use.

- Analytics and reporting
To produce aggregated and anonymised analytics and reports. These may be shared publicly or with third parties but will not identify you individually.


9. How We Share Your Data

We do not sell your personal data. We may share your personal data with third parties only in the following circumstances:

- Other companies within the TradeVerify group of companies;
- Third-party service providers and technology partners who assist us in operating our platform and delivering our services (for example, cloud hosting providers, email platforms and analytics tools) — these providers are contractually bound to protect your data and may only use it for the purposes we specify;
- Our clients — where personal data relates to a contractor, that data may be shared with the relevant property manager, strata manager or OC manager who engaged us to verify that contractor's compliance;
- Regulators, law enforcement bodies, government agencies, courts or other authorities, where we are legally required or permitted to do so — we will notify you of such disclosure where practicable and appropriate;
- An actual or potential buyer, investor or successor entity in connection with a sale, merger, acquisition or restructure of any part of our business — in such cases the receiving party will be bound by confidentiality obligations; and
- Other parties where you have given us your consent to do so.


10. Security

The security of your personal data is a priority for us. We maintain appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration or disclosure. These measures are regularly reviewed and updated.

Where we engage third-party service providers to process personal data on our behalf, we ensure they maintain equivalent security standards through contractual arrangements.

11. Retention

We retain personal data only for as long as necessary for the purposes for which it was collected, or as required by applicable law (including tax, accounting and regulatory requirements). This includes retaining data for a reasonable period after our relationship with you ends, to the extent we have an ongoing legitimate business need to do so.

Once personal data is no longer required, we will delete or anonymise it in a secure manner in accordance with our data retention policies.


12. Your Rights

You have rights in relation to your personal data. Depending on the circumstances, these include the right to:

- Know what personal data we hold about you and to request a copy of it;
- Request that we correct inaccurate or incomplete personal data;
- Request that we delete your personal data (subject to any legal obligations we have to retain it);
- Object to or request that we restrict our processing of your personal data; and
- Withdraw consent where our processing is based on consent (this does not affect the lawfulness of processing prior to withdrawal).

You also have the right to lodge a complaint with the relevant privacy authority in your jurisdiction — the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au, or the Office of the Privacy Commissioner in New Zealand at www.privacy.org.nz.
